PRIMARY FUNCTION
The Associate Director position serves as the primary contact for an assigned cohort(s) of EMBA students. This position provides the highest quality customer service and manages the day-to-day student services and program coordination functions for the EMBA degree program. Program coordination responsibilities include: oversight of all program activities related to the students within their cohort; coordination with the Ross student services team for activities including registration, degree audits and compliance with academic standards; coordination of faculty support during the program; assurance of timely completion of program and course evaluations either directly or via the support staff within the program team; coordination of housing and all other operational arrangements during participants' residential stays; coordination with technical support staff for smooth operations during online portion of program; and student team project coordination. The Associate Direct or has authority to make decisions and commitments for many activities in order to ensure the program's administrative and academic success.
This position also provides secondary support for EMBA alumni and alumni events as needed by the Associate Director for Marketing and Alumni events.
The Associate Director supporting the Los Angeles cohort(s) may have additional responsibilities for marketing and recruiting in the Los Angeles market area such as coffee chats, consultations, and establishment of relationships with corporations and local business networks.
Special Note: This position will be located in the Los Angeles, California area, working out of your home, while coordinating with the EMBA staff and faculty located in Ann Arbor, Michigan. This position is the main point of contact for all student and faculty needs for the EMBA residencies held in Beverly Hills. Support for residencies will require work on Thursday, Friday and Saturday, one to two weekends per month. The Associate Director will be required to travel in the greater Los Angeles area for events. The Associate Director also will be required to travel to Ann Arbor for training, program support or recruiting/alumni events.
While supporting residencies or attending events, early morning, late evening and weekend hours will be required. On-call hours are also required.
Specific Responsibilities Include:
Relationship Management
Act as primary contact for assigned cohort(s) of Executive MBA students.
Manage unique needs of each individual student as well as overall cohort.
Handle day-to-day requirements in coordinating logistics and administrative functions for assigned cohorts of EMBA students and faculty.
With minimal oversight, determine key details necessary to make each program residency or event successful, coordinating necessary internal and external resources, both within the EMBA program and with other units.
Maintain and monitor technological aspects of the program (websites, exam portals, other electronic delivery mechanisms), work with curriculum coordinator to ensure all course materials, and managing overall engagements from start to finish, including the authority to make decisions on financial commitments (e.g., catering, classroom rentals, hotel and occasional off-site restaurant reservations).
Manage relationships between cohort, overall EMBA program, and various offices both inside and outside the University.
Provide necessary oversight and coordination with the Academic Services department regarding adherence to academic policies and enforcement of administrative guidelines.
Advise faculty regarding student team issues, individual contributions, and another relevant information.
Manage the relationship between assigned student cohort(s) and faculty, while maintaining the highest academic and operating standards.
Admissions, Marketing and Communication Management
Assist in recruiting high-quality applicants to the degree program.
Participate in development and refinement of strategies for recruitment of targeted profile candidates in conjunction with Program Director and Admissions.
May support company visits, as well as on-site and off-site year-round coffee chats, consultations and information sessions in coordination with program director and admissions staff.
Strategic and Financial Management
Implement and manage program by participating in organizational meetings with faculty and program director on design, financial, and operational aspects of the EMBA.
Solicit and respond to feedback regarding various aspects of the program.
Participate in EMBA Council, the trade association for EMBA Programs, as required. Activities could include traveling to national or regional meetings, writing articles about Michigan Ross or providing ideas for enhanced participation in the industry organization.
Provide research and analysis of other program offerings, making suggestions for improvements and/or modifications to the Ross EMBA as necessary.
Manage each individual cohort budget, which includes discretionary spending as well as other oversight.
Help supervise support staff for EMBA team including appropriate delegation of tasks to administrative or temporary staff.
Monitor tutors identified by faculty, for both quality of interaction with students as well as adherence to budget as required.
Monitor a variety of additional employees (including catering staff, porters, etc.) during weekend residencies and special events. May also need to monitor or manage support or events staff at contracted facility as needed.
Identifies problems and evaluates solutions that have a significant impact on the overall goals of the department, ranging from academic issues to facilities issues, specifically the EMBA Program's working relationship with Executive Education, vendors and students.
Take active role in identifying creative enhancements to the program, ranging from to student activities to admissions/marketing strategies to student and alumni involvement.
Technical Management and Evaluation
Provide support for online activities, including maintenance of cohort websites and coverage during online exams.
Administer course, event, and program evaluations.
Manage program quality and implementation progress through annual program review as well elevation of faculty instructional quality issues to program director and academic director.
REQUIRED QUALIFICATIONS
Bachelor's degree or combination of education and experience with progressively responsible and strategic roles.
Three to five years professional experience with executives in business environment required.
Project and/or program coordination or management experience required.
Demonstrated superb organizational and interpersonal skills.
Excellent written and communication (oral, listening and speaking) skills, diplomacy, discretion, and presentation skills
Proven ability to successfully interact with a diverse group of people such as academic faculty, staff, participants and vendors, along with various offices within the University (including corporate representatives) at all levels.
Demonstrated ability to participate effectively in a small, team-oriented office; flexibility; creative problem solving, and "do-what-it-takes" attitude a must.
Detail oriented with ability to manage multiple tasks and meet deadlines in a timely manner.
Proficiency with Microsoft Office and Access database management.
Must be dependable and able to work independently and to exercise initiative and sound judgment.
Must be willing to travel as required. Travel requirements are estimated to be around four trips per year.
Will require work during early mornings, nights, and/or weekends. Must be available to prepare for, attend sessions, and manage the conclusion of on-site residencies for the program, one to two weekends per month. Successful candidate will have previous work experience with a flexible work schedule including consistently working weekends as required.
DESIRED QUALIFICATIONS
Knowledge of University policies and procedures, including familiarity with M-Pathways applications also desired.
Previous experience successfully working with a geographically dispersed team members is strongly preferred.
