We are seeking a Director of Event Coordination to manage the department that executes the extremely detailed logistic, administrative and customer-interfacing aspects of each event. This position is responsible for venue selection, contract negotiations associated with the venue and the logistics of the events, contract management and mitigating the financial risk associated with the management of event budgets. This role is also responsible for the administrative and on-site logistics of each live event, including managing speakers, sponsors and other meeting partners. At the same time, the department is the face of Infocast at our live events and is responsible for delivering customer experiences that result in high attendee and sponsor satisfaction and return business.
This is a leadership role for a manager with the strong communication and problem solving skills required to ensure the flawless execution of each event. The Director of Event Coordination must foster strong working relationships with internal department managers and with venues and other external service providers, must aggressively manage outside vendors, (including non-US based vendors) must maintain a tremendous focus on detail and must possess a creative, flexible attitude to ensure the success of each of the company's events.
Responsibilities:
Aggressively secure event space and catering contracts through negotiations that can be contentious and confrontational
Build relationships with venue, catering, transportation, A/V and other service providers to achieve business relationships benefiting Infocast, our meeting partners and our attendees.
Ensure performance at the highest level of professionalism from the Event Coordination staff, including recruiting, training and mentoring.
Effectively communicate and coordinate with external partners and each department within the company to ensure flawless, professional execution of business conferences from inception to completion
Track, manage and reduce on site costs, while maintaining high levels of customer service for meeting partners and attendees
Track, manage and reduce company venue commitments and risk exposure
Assume full responsibility as Event Coordinator for specific events as needed
Establish best practices and make recommendations for process improvements and enhanced efficiencies in the Event Coordination function, both in house and on site.
The successful candidate:
Experience
At least 5 years of business experience in a professional environment
Experience in successfully managing a staff of at least 3 while maintaining individual hands on responsibility
Background in event planning (international experience and CMP a plus)
Experience in finding event space at hotels and alternative venues and aggressively negotiating tough but fair contracts
Experience in managing and reducing risk and expenses
College graduate
