Office Manager/Administrative Assistant - Part Time for small law firm in Manhattan Beach with potential for growth. Hours are 9-6 Tuesday, Wednesday Friday's.
Job responsibilities include but not limited to the following:
Administrative support for principal attorney and other associates; maintain correspondence, emails, prepare agenda and necessary items for staff meetings, calendaring
Work within QuickBooks to enter and pay bills; write expense checks, post and prepare deposits. Call vendors and clients; maintain relationships and follow-up. Attention to detail is imperative in this position. Manage insurance policies with agent.
Work closely with the Owner and Business Manager on A/P processing and H/R on a weekly basis. Approve vacation time and personal time
Manage the receptionist position and communicate with IT team.
Organization of office, file; archive files; create new client file folders
Plan annual holiday party, respond to invites, buy gifts; order lunches.
Maintain and oversee the day-to-day flow of office.
This position needs to be a highly motivated person with a natural ability to take initiative and be a self-starter. Mac proficient; knowledge of Microsoft Office. QuickBooks knowledge would be helpful but not necessary.
