Growing wellness, medical, cosmetic and weight loss center is seeking an experienced administrative assistant to support the VP of Operations. Candidates must have 3+ years of combined secretarial, administrative, and customer service support in a business environment, including handling a multitude of tasks for VP and CEO levels. 2+ years of sales and marketing experience is highly preferred. Candidates must be well rounded in several areas of business operations to keep up with the high and often changing demands of an expanding company.

Preferred experience, but not required:
Prior experience working in a Wellness Center, Chiropractic, Acupuncture, Doctor, Cosmetic, Weight Loss or other medically related field
Familiar with medical and wellness terms, phrases and procedures
Understanding of insurance plans, benefits, deductibles and co-pays
Scheduling patient appointments for multiple doctors and various services

Job Requirements
Must be proficient with:
MS Office, advanced proficiency preferred
Typing and 10-Key, both by touch
Verbal and written communication, including ability to write, edit and proofread with accuracy
Providing excellent customer service in person and over the telephone
Maintaining sensitive and confidential information
Exhibiting sound and accurate judgment, supporting and explaining reasoning for decisions, includes appropriate people in decision-making processes, and making timely decisions
Following instructions, taking responsibility for own actions, and completing tasks on time
Determining if incoming calls, mail, solicitations for donations or services, and walk-in sales reps and are relevant to business needs. Gathering pertinent details and information before sending/referring to management staff. Accepting or declining requests as needed
Internet research to locate products, information, vendors, marketing sources, and trends
Ordering supplies and maintaining inventory
Social media outlets (such as YouTube, Facebook, Twitter and others) to educate, expose, announce, market various aspects of the business
Identifying and resolving problems in a timely manner, gathering and analyzing information, and developing alternative solutions
Managing difficult customer situations, responding promptly to customer needs and requests for service and assistance
Prioritizing and planning work activities and using time efficiently

Must have basic abilities to:
Proactively call, solicit for, and generate appointments to keep calendars filled with patients
Sell, cross-sell, accurately describe services and their benefits to new and existing patients and ask for referrals
Create energy, spark interest and market promotions or events to patients, clients, partners, vendors, community connections and more
Create a network of contacts and build rapport for projects, sponsorships and overall business relations
Update visual materials with image editing software (such as Adobe Photoshop or equivalent)
Assist in monitoring staff hours, balance timesheets and reconcile invoices and process payroll. ADP RUN experience is highly desirable
Understand common principles of human resources to handle or direct situations under the guidance of management, create and prepare job descriptions, postings, and office documentation to comply with state and federal regulations

Qualifications
Associate's Degree with combined experience; Bachelor's Degree preferred
Reliable transportation and proof of insurance -- Use of a personal vehicle during business hours for marketing, banking and supply purchases
Must be flexible with work hours and may occasionally work evenings and weekends
Ability to periodically volunteer for business related events, fundraisers, mixers, and networking opportunities
Personable, creative and proactive
Dependable, reliable and self-starter
High level of accuracy, attention to details and strong ability to follow up on tasks and projects
Confidence in decision making
Vision to see where new policies and procedures need to be created
Motivated to learn and to seek increased responsibilities


Job Details
Office located in Carson, CA; conveniently between 405 and 110 fwys
Full time, M-F
Hours - start between 9 and 11am, end between 6 and 8pm and may vary
Vacation, sick and medical benefits available after successful completion of 90 day probation
