JOB SUMMARY:

The Office Manager is responsible for providing the overall leadership and management for the Worker's Compensation Orthopedic office. This position is responsible for assuring excellent patient care, customer service and clinical outcomes. The Office Manager works with staff to plan, develop and implement changes to existing operational and health care processes to meet current and future clinic needs. Accountable for managing, coordinating and planning patient care and business services functions and activities, which include; assuring that a high quality of patient care and satisfaction standards are achieved, adherence of established medical practice standards and proficiency, voice operations, reception, registration, scheduling, frontline patient services and accounts receivable, and physician scheduling protocol management to include outreach site coordination if needed. Decision making in order to manage daily functions and work toward continuous improvement in a team environment is a crucial element of this position.

ESSENTIAL FUNCTIONS:

Personnel Management, Training Coordination:

o Serve as a liaison between Practice Administrator and practice staff
o Assists with to hire, train, supervise and evaluate practice staff and Receptionist
o Oversee clinical staff adherence to Orthopedics practice programs, protocols, and quality assurance guidelines and insure current licenses are in good standing
o Coordinate Clinical, Physician and Clinic Assistant schedules
o Coordinate and document staff trainings, continuing education and staff meetings
o Review staff time for payroll

Program, Systems Procedures/Protocols Management:

o Develop, implement and maintain systems/procedures to ensure agency compliance with Department of Health Services, Title XXII and HIPAA standards
o Supervise compliance of Family Pact, Title X, Medi-Cal and EAPC programs and billing requirements
o Maintain all medical protocols and provide for updates as necessary
o Participate in on-going quality assurance review activities
o Arrange, participate in and document practice meetings
o Work with Medical Records to implement patient fee and billing changes
o Attend trainings or meetings as required
o Follow-thought on abnormal lab test results with patients

Purchasing Inventory:

o Purchase medical supplies, medications, and equipment
o Maintain quarterly medical inventory, storage areas, and emergency kit
o Arrange for routine equipment servicing and conduct prompt repairs when needed
o Discrete handling of confidential and non-routine information
o Exceptional attention to detail
o Must be highly organized
o Performs other duties and projects as assigned

PHYSICAL DEMANDS:

o Light degree of physical effort
o Ability to lift and carry moderate weights
o Must be able to sit for long periods of time

KNOWLEDGE, SKILLS, AND OTHER REQUIREMENTS:

o Must be organized and detail oriented
o Must exhibit a high degree of professional excellence characterized by sound independent judgment, initiative, and a high standard of ethics
o Must maintain high levels of confidentiality at all times
o Must be self-motivated
o Must be professional at all times
o Good communication and writing skills
o Must be able to work OT when necessary

EDUCATION AND EXPERIENCE:

o Bachelors degree required
o Masters degree preferred
o Medical or any other type of certifications helpful
o Experience working in a medical office preferably in an orthopedic setting
o Minimum of 3 years in Worker's Compensation management a must
o Proficient in Microsoft Office (Word, Excel, Powerpoint, etc.)
o Bilingual (English/Spanish) preferred, but not required
o Strong organizational skills, detail-oriented, and the ability to handle multiple tasks
